Terms of Service for Freelancers

The Filmevent UK Ltd

These Terms of Service (“Terms”) govern the engagement of freelancers (“Freelancer”) by The Filmevent UK Ltd (“Company”). By accepting an assignment, the Freelancer agrees to comply with the following conditions:

1. Representation of The Company

1.1 The Freelancer acknowledges that they represent The Filmevent UK Ltd during all assigned events.
1.2 The Freelancer shall conduct themselves professionally and respectfully at all times, in alignment with the Company’s values and reputation.

2. Dress Code

2.1 The Freelancer must adhere to the dress code specified by the Company for each event.
2.2 Failure to comply with the dress code may result in reduced payment or exclusion from future assignments.

3. Equipment & Insurance

3.1 The Freelancer is fully responsible for the provision, care, and maintenance of any personal equipment they use during assignments.
3.2 The Freelancer must ensure that their equipment is properly insured.
3.3 The Filmevent UK Ltd accepts no liability for loss of, theft of, or damage to Freelancer-owned equipment.

4. Cancellations

4.1 Confirmed bookings are binding. Last-minute cancellations are not permitted except in the case of verified illness.
4.2 In the event of illness, the Freelancer must provide appropriate proof (e.g., a doctor’s note or medical certificate).
4.3 If a Freelancer cannot attend an event for any other reason, they are responsible for securing an approved replacement of equal skill and reliability.

5. Penalties for Cancellations

5.1 If the Freelancer cancels without valid medical proof or without providing an acceptable replacement, the Company reserves the right to:

  • Deduct a cancellation fee (up to [X]% of the agreed fee).

  • Suspend or exclude the Freelancer from future engagements.
    5.2 Repeated breaches may result in permanent removal from the Company’s freelancer pool.

6. Payment

6.1 Freelancers will be paid the agreed fee upon satisfactory completion of the assignment, subject to these Terms.
6.2 Deductions may be applied in cases of dress code violations, unprofessional conduct, or breach of cancellation terms.

7. Loyalty Program

7.1 To reward long-term collaboration, Freelancers will receive a bonus of £80 for every 5th event they successfully complete with the Company.
7.2 The bonus is paid together with the regular fee following the completion of the 5th event milestone.

8. Confidentiality & Social Media

8.1 Freelancers must treat all information about the Company, its clients, and event participants as strictly confidential. They are not permitted to name or identify clients in any public content.
8.2 Freelancers are encouraged to share their work and experiences on social media by tagging The Filmevent UK Ltd accounts, but must always respect client confidentiality.
8.3 Freelancers must follow the event briefing and instructions provided by the Company and apply common sense in all decisions regarding content, behavior, and interaction during events.

9. Agreement

By accepting a booking, the Freelancer confirms that they have read, understood, and agreed to these Terms.
